This year 7.5 percent of all business documents get lost and 3 percent get misfiled while you'll spend $120.00 searching for a lost document

How Much Are Lost Documents Costing You?

When an important document goes missing, you’ll inevitably have to spend valuable time sorting through stacks of paper and bottomless filing cabinets—tasks that quickly become frustrating for busy professionals.
According to recent statistics from PricewaterhouseCoopers, 7.5 percent of all business documents get lost and 3 percent get misfiled. Lost documents not only cost you time and energy, but can also lead to poor customer service, decreased productivity and legal consequences.

According to PricewaterhouseCoopers, the average organization:

• Makes 19 copies of each paper document
• Spends $20 to file each document
• Loses one out of every 20 documents
• Spends $120 searching for a lost document
• Wastes 25 hours recreating each lost document

So, what can you do to avoid disorganization and increase efficiency at your company?

Implement a Document-storage Policy: Simplify the filing process by creating a document policy for your company. This should include standardizing your file-naming and indexing procedures to reduce confusion.

Consider Scanning: You don’t have to go paperless to implement file scanning into your document-storage system. Scanning can reduce filing costs, improve organization and simplify the entire search process.

Partner with a Document Management Provider: By hiring a reputable document management service provider your company can save time and money in the long run. These companies can also streamline your print and electronic files and also provide ongoing support.

Section 179 lets you deduct the total amount of the purchase of office equipment this year instead of amortizing that deduction over 5 years.

Essentially, Section 179 works like this:

When a business buys certain items of equipment, like a copier or printer(s) it typically gets to write them off during a (5) year depreciation period.

In other words, if you spend $50,000 on a new machine, you get to write off (say) $10,000 a year 20% for (5) years. Now, while it’s true that this is better than no write off at all, most business owners would really prefer to write off the entire equipment purchase price for the year they buy it.

In fact, if a business could write off the entire amount, they might add more equipment this year instead of waiting. That’s the whole purpose behind Section 179… to motivate the American economy (and you) to move in a positive direction – buying a new MFP or new laser printer.

For most small businesses SMB (adding total equipment and software totaling less than $500,000 in 2011), the entire cost can be written-off on the 2011 tax return. Understanding Section 179 For large businesses adding even more than $500,000, the write-offs are just as substantial.

So if you want to buy or lease new equipment soon call us and we’ll help you take the 179 deduction this year!

That means that there are 4 color levels available for each pixel printed. 8 bit color takes that a step further by… you guessed it, making 8 bits of color available for each pixel.

What does that mean to the printout? A higher range of deep hues on the print. Toshiba color MFP’s offer 8 bit color depth and the prints are very impressive.

Many companies claim they have the “Best service in the business” but few even have a way to measure how happy customers are. At DocuSense, we use the Net Promoter Scoring system. We capture feedback from every customer and the results are tabulated by an outside agency.

The Net Promoter Score is based on one very important question: ” How likely are you to recommend to a colleague or friend?” Some well-loved companies reach scores into the 70′s or 80′s. Trader Joes scores at 82%. Apple’s score is 72%.

Want to know how DocuSense customers feel about us? See the results here. Thanks to all those who participated in the survey. We’ll continue to try to live up to this standard of excellence!

Think you understand Managed Print Services? Maybe… but not if…

You buy new equipment because it’s faster

You’re willing to upgrade the old machine because you’ll save monthly on your lease

Your copiers/multifunction devices are handled by a different department than your printers

You buy color-capable devices instead of monochrome because it’s just a little more money on your monthly lease

You don’t know how many 11×17 tabloid prints your equipment makes every month

You still don’t know how much you are spending monthly for all copies and prints

You don’t have a plan to decrease volume

If you answered yes to any of the above, help is on the way. Talk with us and let’s get your fleet working for you. Now that’s Complexity Simplified! 1-800-422-0080

Still think you need that big copier? Save some money and let your equipment dealer lease your grandmother a Hummer instead.

I can’t remember the last time I felt good after reviewing a prospective client’s copier fleet billing. Last week I saw yet another example of the type of abuse companies routinely receive at the hands of their copier dealer. This client has 30 machines, all of them 11×17 tabloid-capable tanks. Here’s an example of one of their typical devices. This one’s been leased for 2 out of the 5 years for $276/month.

<colgroup span="1">
<col span="1" width="102"></col>
<col span="1" width="64"></col>
</colgroup>

Total Copies

60,701

Total Prints

200,199

Total Pages

260,900

11 x 17 pages

9

Duplex pages

443

When we ask new clients how much their pages cost they never know off-hand the price they are paying for their leases but are almost always quick to point out that it only costs a half a penny per page. This client was no different. Nine tabloid-sized pages in two years. Really? Their office had no reason to have that much big iron on the floor wasting money when smaller, less expensive machines would fit just fine. They’re probably overspending by at least $4,000 monthly in equipment leases alone.

When we streamline this client they’ll have much less equipment costs, and almost no large leases but if you’re wondering how this happens in the first place, it’s because your equipment dealer is likely more interested in tying you up for 5 years with devices you won’t need than looking out for your best interest. Why? Because the dealer’s salesperson is paid by the $ amount of the devices he can put into your office. You don’t buy big stuff and he won’t eat. Besides, they know you’ll focus on that bargain half-penny-per-page cost and not on the lease amount.

Solution: Remember your document output is changing every year and copies are declining (Why are you copying anyway?) so think twice before leasing the huge device and instead, put workgroup printers in place or lower-cost letter/legal-sized multifunctions where you need them and don’t give into the lure of the half-cent-per-page.

Still think you need the big device? Save some money and let that equipment dealer lease your grandmother a Hummer for 5 years to drive around the block to her bridge club.

When it comes to a multifunction device bigger is better right? Not so fast. This month we proudly introduce you to the Xerox Phaser 3635MFP/X Proving that even in printing good things can come in smaller packages.

Why is this device worth a look? I’ll give you a reason for every day of the week

1) 35 page per minute Multifunction device delivering a set of features usually only found on large departmental MFP’s.

2) Full color screen – Not just prettier, they are proven to be easier to read and to operate for your users

3) Print Around – If an active job hits a problem it gets sent back to the spool and the next job in line gets run. This allows you to remain efficient by greatly reducing bottlenecks

4) ID card copy. (Copies both sides of an ID card on one sheet of paper at the push of a button) Perfect for medical offices

5) Lower energy use (15 watts vs 24 watts for other devices when in power saver mode) That’s about 18 hours a day in most places. Use last month’s energy calculator to see your savings

6) Which would you rather spend, $8,000 or more for your leased multifunction or $1,700 for the Phaser 3635) Do the math and decide if you really need the bigger device.

7) Bertl, an independent testing agency gave this product a 5-star rating.

For detailed information click here, or as always contact us.

You wouldn’t try to run your office outdoors would you? Why not? Because of an uncontrolled environment. So, if a controlled environment is an obvious benefit in that respect, why wouldn’t you want to apply the principle to every aspect of your business.

You control your financial environment through fiscal policy; your work environment through human resources policy, and on and on and on. Now, what if I told you you were hemorrhaging money from an uncontrolled environment in your business.

Unless you’ve built your document infrastructure from a carefully constructed plan, this probably is true of your document management environment.

It used to be simple to figure out what some new gadget would cost you, but these day's it's about a lot more than the sticker price.

Trying to squeeze every last page out of that Multifunction before you break down and get a new one? Bravo from the Bottom Line to you; but if you haven’t considered this, you may be making a mistake…..
You know that EnergyStar logo that’s popping up everywhere? Is there one on your old device? Look again, just to be sure.

Ok, if the answer is still no, it’s time to replace your printer. EnergyStar Printers are 40% more efficient than their non certified counterparts on average. Which means that old device is not only a cost per page nightmare from a supplies perspective, but from an energy usage standpoint as well.

The old way of thinking just doesn’t apply in today’s technological environment. It used to be simple to figure out what some new gadget would cost you, but these days it’s about a lot more than the sticker price. Newer technology increases productivity, lowers supply cost, increases maintenance efficiency, and even improves energy consumption. Today it’s all about ROI. You need to seriously consider the improvements the new gizmo will bring to your business as returns to you and not just the cold hard returns from the work it does.

Once the cost of a new machine is reasonably offset by its many returns, it’s time to make that purchase.

If you’d like a consultation please contact Docusense, that’s complexity simplified!
