I can’t remember the last time I felt good after reviewing a prospective client’s copier fleet billing. Last week I saw yet another example of the type of abuse companies routinely receive at the hands of their copier dealer. This client has 30 machines, all of them 11×17 tabloid-capable tanks. Know its Bi-Directional Communication Capabilities
Want to have your IT department babysit that new multifunction printer you installed in your office? Get a device without adequate bi-directional communication.
An often under-rated feature of multifunction printers, bi-directional communication refers to the ability of the device to exchange information with the user’s PC.
Bi-directional communication, at its most basic level, will allow the printing device to report back to the user, notifying them when print jobs are completed and when it is ready for the next job. While nice to have, basic functionality isn’t good enough today. You want users to know why their job didn’t copy or print or fax and what to do about it; all without draining IT resources. So look for a device with more advanced bi-directional communication capabilities.
The device with this capability will report its status back to the user’s workstation thru the print driver, notifying them of toner low, paper out, paper size mismatch or other error conditions. The best devices will give step-by-step instructions simultaneously on the users screen and at the device telling them what they need to do. Some devices go further, if needed, by opening up a service ticket through the internet, then running a diagnostic on the machine which will then report back to the user with resources for how to correct error conditions.
Typically, advanced bi-directional reporting is not an option and doesn’t cost you anything. It just automatically comes with good equipment. So, give your IT guys a break. Understand your device’s bi-directional communication features and make sure you purchase a machine that helps users help themselves.

Know its Multitasking Abilities.
Can you finish two tasks at the same time without slowing to a crawl? Congratulations, you are way more efficient than most multifunction printers. Many of them can perform only one function at a time without significant speed reductions. Why? It’s because most multifunction devices employ a single processor which can only efficiently handle one task at a time. For example, try faxing while the device is printing. Or try printing while the device is scanning. You’ll want to have a comfortable chair handy before you try these experiments.
You’ll pay a small fortune for your 60 page per minute device because you figured you’ll be able to process documents faster. Here are 3 questions to ask before you buy or lease to make sure you get closer to the performance you expected.
1) For 60 pages per minute and up, does the device have independent processors for printing vs faxing and scanning? (This is the most important question)
2) What is the actual vs rated speed of the device? (You might be surprised at the difference)
3) What are the concurrent function capabilities?
Get the answers to these questions before you cough up the money your dealer is asking for that speedy device they’re offering. Once you know the true speed, you’ll at least get the performance you were expecting.

How do you print the same amount of color documents yet generate 90 percent less ink and laser cartridge waste? Just ask the University of Penn who has begun this sustainability effort by employing “Ink Stick“ color printers in several departments.
The environmental impact of traditional laser and inkjet printing is significant. It takes 3 quarts of oil to produce one toner cartridge and the empty generates about 5 lbs of waste plastic and metal.
